Job Responsibilities

Sales Order Management

- Responsible for processing a variety of sales order types in the AX system in a timely and efficient manner.

- Support and work closely with the business teams to ensure all orders are processed through the entire order processing cycle to meet customers’ needs.

- Close liaison with warehouse on logistics and transportation co-ordination to ensure deliveries are well coordinated, duly delivered within the stipulated time-line.

- Troubleshoot on any logistics or orders related issues that may arise during the outbound process

- Ensure adherence to Regulatory standards (especially by checking products registration before order entry) including customs and export regulations.

- Provide high level of customer service through prompt and courteous communication to understand their requirement, obtain feedback on service performance

- Attend to customers inquiries and order delivery status

- Responsible to familiarize with the GDPMDS procedure and always operate within the guidelines.

Administration of Manual Delivery Orders (PI/DO)

- Responsible for the administration of manual PI/DO. Close monitoring to ensure all signed documents are received and converted to the appropriate system documents.

Management of consignment Orders

- Ensure efficient management of consignment orders between internal and external customers and ensuring all the POD documents are promptly returned for filing.

- Close monitoring and work closely with responsible sales team to aim for speedy receipt of hospitals' POs to bill off consignment goods.

- Provide monthly report to update business teams on the inventory status for consignment stocks with emphasis on those long overdue consignments

Hospital Contracts Management

- Conduct regular review and maintenance of contracts to keep contract information up-to-date

- Creation of blanket orders in the AX system

- Daily releasing of blanket orders from the system in accordance to customers’ requirements.

Administration of Incoming Shipments and Release of Back Orders

- Administration of incoming shipment (GIN reports) and release of customers’ back orders from system for delivery.

Goods Return and Inventory Adjustments

- To be responsible for all forms of sales returns, price and inventory adjustments for orders handled by you.

Reports

- Generate various types of sales and inventory reports in support of sales processes

Back Up

- Provides timely support and back-up in cross-team operations as and when required.

Filing and Archiving Duties

- To be responsible for own area of filing (soft/hard copies)

-Perform yearly archiving of old documents

Miscellaneous Duties

- Miscellaneous duties as and when assigned by SOM Manager
