Key Responsibilities:
1. Project Planning & Execution:
- Lead the planning, scheduling, and execution of hospital medical equipment supply projects from inception to completion.
- Develop comprehensive project plans detailing milestones, resource allocation, timelines, and deliverables.
- Coordinate with internal teams (procurement, logistics, technical support) and external stakeholders (hospital management, contractors, suppliers) to ensure smooth project execution.
2. Budget Management & Cost Control:
- Prepare and manage project budgets, ensuring cost-effectiveness throughout the project lifecycle.
- Monitor and control project expenditure, identify cost-saving opportunities, and ensure adherence to financial limits.
- Provide regular financial reports to senior management regarding project costs, budget variances, and financial forecasts.
3. Deliverable Fulfillment:
- Ensure that all project deliverables, including medical equipment, are delivered according to contract specifications, quality standards, and within agreed timelines.
- Track and document the delivery and installation of medical equipment at hospital sites.
- Conduct quality assurance checks to ensure equipment meets required standards before handover.
4. Risk Management:
- Identify potential risks and obstacles that could affect project timelines, costs, or outcomes.
- Develop mitigation strategies and contingency plans to address project risks proactively.
- Regularly update the risk register and communicate key risks to stakeholders.
5. Stakeholder & Vendor Management:
- Serve as the main point of contact between the hospital client, suppliers, and internal teams.
- Ensure clear communication channels are maintained between all parties and that project expectations are clearly understood and agreed upon.
- Manage supplier relationships to ensure timely delivery of equipment and services.
6. Project Reporting & Documentation:
- Maintain detailed project documentation, including project schedules, meeting minutes, contracts, and technical specifications.
- Provide regular status reports to senior management and other stakeholders, highlighting progress, challenges, and next steps.
- Ensure that all contractual obligations are met and documented for audit and project closure purposes.
7. Compliance & Regulatory Adherence:
- Ensure all project activities comply with relevant hospital, local, and international regulations and standards.
- Coordinate with regulatory bodies, ensuring medical equipment meets compliance requirements before deployment.
8. Team Leadership & Coordination:
- Lead and mentor the project team, ensuring high levels of performance and collaboration.
- Manage subcontractors, ensuring they meet project standards and deadlines.
- Foster a culture of continuous improvement within the project team, encouraging innovation and efficiency in project delivery.
