Principal Specialist - Order Management

The Order Management team is part of idsMED’s centralized Supply Chain & Procurement Unit. The Order Management Executive is a centralized role responsible for smooth purchase order processing at regional level for six countries. The daily order processing role broadly includes a) Order receipt from idsMED countries, b) PO issuance to Principals, c) Order tracking, d) Creation of shipment requests on system, e) Goods receiving and invoice issuance to countries.
Job Responsibilities
System Setup:
1. Upload Price Agreements for new Principals, item codes on system per pre-decided format.
Order Processing:
1. Receive and check Purchase Orders (PO) from countries and perform system steps to confirm sales order (SO).
2. Create back-to-back Purchase Orders (PO) to Principal per agreed terms and cost price.
Order Tracking:
1. Follow up with Principals to ensure Order Confirmation and Goods Ready Date is provided within the agreed lead time.
2. Track all orders and ensure all necessary date stamps are created on the system workflow.
Freight arrangement:
1. Generate Shipment Request on system and shipment documents (CIPL) and provide to Freight team members / Freight Forwarders.
Goods Receiving & Invoicing:
1. Create Advance Shipment Notice (ASN) on system and perform Goods Receiving on basis of receipt instruction from idsMED Countries.
2. Generate system Invoice to idsMED countries and resolve any pricing discrepancy with guidance from manager.
Exception Handling:
1. Perform returns / credit notes / debit notes and process urgent orders carefully with extra attention.
Others:
1. Support manager to prepare periodic management reports and KPIs on inventory position to be presented to senior management.
2 Perform business support related tasks & ad-hoc project assigned by superior.
